Editorial management is a continuous process of transformation of manuscripts into articles involving different actors such as authors, evaluators, editors, proofreaders, typesetters, among others. In this process, quality controls, time standards and people in charge of activities are established. The Figure shows the phases of editorial management that include manuscript management and article production.
Phase 1: manuscript management
This phase comprises from the call for papers to the acceptance of the manuscript by the editor. The steps involved in this phase are described below.
Call for papers: the Training Center issues a communiqué specifying the thematic areas defined in the journal's focus, the guidelines for authors, the dates for receipt of articles and the journal's contact information.
Receipt of manuscripts: compliance with the journal's focus, guidelines for authors and the originality of the manuscript is verified by means of the originality checker adopted by the entity. The author information format adopted by the journal is requested; this information is confidential and should not be disclosed in order to comply with the double-blind evaluation. In the case of having section editors, the respective assignment will be made.
Manuscript evaluation: two peer reviewers are selected and the manuscript is sent to them with the evaluation format adopted by the journal and the evaluator's information, as well as the authors' information format, the information provided by the evaluators is confidential and should not be disclosed.
Communication to the authors: the authors are sent the editor's concept, the results of the evaluations and the deadline to make corrections if necessary.
Authors' response: the authors must resubmit the manuscript with the changes requested by the reviewers and the editor by the established dates. This process can be repeated up to three times maximum.
Editorial decision: once the manuscript is accepted or rejected, the authors will be informed by e-mail and certification signed by the journal editor. If the manuscript is approved, the assignment of copyrights is requested.
Phase 2: article production
This phase covers from style correction to publication of the journal issue.
Proofreading: accepted manuscripts will be sent for proofreading in Spanish and English.
Layout: the design of the manuscript in digital version, XML marking and galley proofing of the articles to the OJS platform will be carried out. If a printed version of the journal financed by SENNOVA is required, an endorsement must be requested to the Coordinator of the Research, Innovation and Academic Production Group justifying the pertinence.
Manuscript approval: the manuscript will be sent to the authors for approval. Once the response from the authors has been sent, a final check will be made before publishing the manuscript using the originality checker.
Publication of the journal issue: at this point the manuscripts to be published for each issue and/or volume of the journal will be selected. The following will be designed:
• Cover: it should contain the header of the journal (SENA logo, name and logo of the journal), volume and number, month and year of publication, periodicity, ISSN and e-ISSN. If the ISSN and e-ISSN are not yet available, space will be left to incorporate them once they are assigned by the National Library of Colombia. When the journal is financed by SENNOVA, the logo must be included. The reduced postal rate should be included for printed journals that have requested it. The guidelines established in SENA's Corporate Identity Manual must be applied and the magazine's logos must be registered (give protection to the registered trademark).
• Table of contents: the title of the journal, volume, number and date of publication, ISSN, e-ISSN, sections of the journal, title in Spanish and English of the articles, names of each author and pagination.
• Content of the journal: files will be generated in PDF and XML format of the articles to be published in the SENA journal portal and the digital legal deposit will be made by sending the files to the National Library of Colombia, the Central Library of the National University, the Library of the Congress of the Republic and the corresponding Departmental Library. In the case of the printed version, a print run will be made to comply with the Legal Deposit, the SENA Repository and the exchanges established by the libraries of each Training Center.
